The Pro and Expert plans cost the same whatever the number of mailboxes: you split the total space between a few large mailboxes or many small ones. Most of a mailbox’s space is taken up by attachments: if you exchange a lot of files, choose mailboxes of 10 GB or more.

What is included with every mailbox

Setting up your email: IMAP, POP and SMTP

Your username is always your full email address. The server to use is the host name of the server that hosts your email (in the form srvXX.haisoft.net), given in your service activation message: it carries the certificate that secures the connection.

IMAP or POP? IMAP keeps your mailbox synchronised in real time between the server, your computer and your smartphone: a message read or filed on one device is read or filed on all of them. POP downloads messages to one computer and can delete them from the server to save space, at the risk of losing them if the computer is replaced. Choose the protocol when you set up the account: it cannot be changed afterwards without recreating the account.

Security and deliverability: SPF, DKIM and DMARC

For your emails to land in your recipients’ inbox rather than their spam folder, your domain must prove that your messages really come from you:

Emails sent from HaiSoft shared servers are relayed through MailChannels, which filters outgoing spam and protects the reputation of the sending IP addresses: see email deliverability. Gmail and Yahoo require these standards from senders: read Gmail and Yahoo’s deliverability rules.

Protection against spam and phishing

Every mailbox has a content-analysis spam filter, which you enable and adjust in Plesk: the action to apply (moving spam to a dedicated folder is recommended), the filter sensitivity, and senders that are always accepted or always rejected. The Mail Pro and Mail Expert plans also include MailChannels Inbound advanced anti-spam, which blocks spam, viruses and phishing attempts before they reach your mailboxes.

A few good habits also reduce the spam you receive: do not publish your address in plain text on your website (use a form protected by a captcha instead), avoid overly generic addresses such as contact@ or info@, and limit mail forwarding. To find out more: spotting email scams.

Sending emails from your website

Your website’s contact forms and order emails must be sent via authenticated SMTP, from an existing address on your domain; the PHP mail() function, which does not authenticate the sender, is disabled. Our article Setting up email sending via SMTP for your website explains the configuration.

Frequently asked questions about professional email

How do I create a professional email address?

You need a domain name and an email plan. Once the service is activated, create your addresses in the Plesk control panel, under “Mail”: choose the address name and its password, then enable the spam filter.

How much does a professional email address cost at HaiSoft?

Mail Mini (1 mailbox of 100 MB) is free. Mail Standard (5 mailboxes of 1 GB) costs €0.99 excl. VAT/month, Mail Pro (2 to 20 mailboxes, 40 GB in total) €3.99 excl. VAT/month and Mail Expert (5 to 50 mailboxes, 250 GB in total) €6.99 excl. VAT/month. Plans are billed annually.

What is the difference between Mail Pro and Mail Expert?

Mail Pro offers 40 GB to split between 2, 4, 8 or 20 mailboxes. Mail Expert offers 250 GB to split between 5, 10, 25 or 50 mailboxes. Both plans include MailChannels Inbound advanced anti-spam.

Can I read my email on my smartphone and in Outlook?

Yes. Your mailboxes are accessible via secure IMAP, POP and SMTP from Outlook, Thunderbird and Apple Mail, as well as from the mail apps on Android and iPhone. Outlook, Thunderbird and Apple Mail configure themselves automatically with your address and password.

Which IMAP and SMTP settings should I use?

Username: your full email address. Server: your server’s host name (srvXX.haisoft.net). Incoming IMAP: port 993 with SSL/TLS (or POP: port 995). Outgoing SMTP: port 465 with SSL/TLS, or 587 with STARTTLS, with authentication.

IMAP or POP: which should I choose?

Choose IMAP in most cases: your messages stay on the server and are synchronised across all your devices. POP downloads messages to a single computer and can delete them from the server.

How do I access my webmail?

Type webmail.yourdomain.com in your browser’s address bar (replacing yourdomain.com with your own domain), then sign in with your email address and its password.

My emails end up in my recipients’ spam folder: why?

Most often, the domain’s SPF record or DKIM signature is missing or incorrect, or the message was sent by an unauthorised server. Check that you have only one SPF record and that DKIM is enabled in Plesk; our support team can help you diagnose your configuration.

Can I keep my current domain name?

Yes. If your domain is managed by HaiSoft, configuration is automatic. If it is managed elsewhere, simply point its MX records to the HaiSoft server that hosts your email and add HaiSoft’s SPF record.

Where is my email stored?

Your emails are stored in HaiSoft’s own datacentres in Tours and Paris. HaiSoft is GDPR-compliant.
